Data Entry Software Instructions Page 2

for CABT 103A and 103B

  • Beginning your first job (assignment)
    • Once you have completed your practice session and returned to the main menu, use the arrow keys on your keyboard to highlight job #1. Press the "Enter" key.
    • Job #1 will open, and you may begin entering the data from your book. Hint: when reading the instructions for Job #1, notice that you must press "Caps Lock" so that all of the data you enter will appear in capital letters. This will be the case for several jobs, but not all of them.
    • As you type each record, use the "Tab" or "Enter" keys to move from field to field. If you notice a mistake in a field you have already gone past, hold the "Shift" key as you press "Tab" to move back a field. Simply press "Tab" or "Enter" to enter the information after you have finished with the last field. You will see the record appear in the database below, and you will be ready to type your second record.

      Beginning the first job

  • Correcting Errors
    • As noted above, to correct an error in a field you have advanced beyond, you can hold the "Shift" key as you press "Tab" to go backward. This only works for records that have not yet been entered.
    • Once you have entered a record, you can no longer correct only part of that record. Ignore small typos until the end of your session, when you will have the opportunity to correct them all at the same time, through the "Validate Input" screen.
    • Inserting Records: It is important that all of your records be on their proper lines. If you accidentally skip a record, you can insert it above the record which should have been directly below it. Do this before you have closed your session; otherwise the program will find errors for every record from that point on, even if there are no typos, because they will appear on lines they shouldn't appear on. To insert a record, use the "Esc" key to access the menus at the top of the screen. Use your right arrow to highlight the "Edit" menu. Strike "Enter" to open the "Edit" menu, and choose "Insert Record."

      Insert or Delete a record

    • After choosing "Insert record" you will see the purple highlighting jump into the database records you have already entered. Using the arrow keys on your keyboard, highlight the record which should have been below the record you are going to insert. Type the record to be inserted, and press "Enter." After this, the program will return to its normal state, and the next record you enter will appear at the bottom of the list.

      Inserting a record

    • Deleting Records: As with skipped records, if you enter a record twice, or enter a record on the wrong line, it is important to correct this before you close your session. To delete a record, follow the same steps for inserting a record, except you need to select "Delete record" this time from the "Edit" menu. Again, the purple highlighting will jump into the records you have entered below. Use arrow keys to highlight the record to be deleted, and strike "Enter." The record disappears, and the next record you type will appear at the bottom of the list.

  • Closing Your Session
    • When you have finished entering all of the records in the job, make sure the "record number" field has the word "END" in it. This indicates that the database is now full, and all records are entered. If you do not see the word "END," this is a good indication that you have skipped a record. You should double-check the information you entered (using keyboard arrow keys to scroll up and down the database), and when you find the missed record, use the steps described above to insert it.

      Closing the session

  • Validating Input
    • After closing your session, you will be back at the main menu. Now you have an opportunity to check your accuracy level and correct errors. This will count one more "attempt," regardless of how many errors you correct. From the main menu, use the arrows on your keyboard to make sure that the job you just completed is highlighted. Use your "Esc" key to access the menus at the top. Use the right arrow on your keyboard to highlight the "Edit" menu. Strike "Enter" to open the menu. Use the down-pointing arrow on your keyboard to choose "Validate Input" and strike "Enter".

      Validating input

    • The "Validate Input" screen will open, showing you your accuracy percentage and the number of attempts you have used so far. If you have errors to correct, you can use "Tab" to select "Change Invalid Records." The program will take you to the first record where an error is found. The correct record will be displayed in the bottom half of the screen, and you will have the opportunity to correct your errors in the top half of the screen.

      Change invalid records

    • Look carefully to find your errors. Errors can range from entering the wrong name to typing an extra space after a word. Extra spaces are sometimes difficult to spot, but you will see that the small black line filling up each field after the words in that field should come all the way up to the words themselves. If there is a small gap there, use your arrow keys to highlight it and hit your "Delete" key. See below for an example of an extra space.
