It has been directed by Cabinet to have the following standards for new copier purchases.
Network: new copier purchases are to be networked so staff can print to the copier vs printing to individual or department printers. Ink and supplies for printers can be costly.
Scanning: documents can be scanned to department personal computers for better document management. This also saves on ink and supplies. All copiers now have color scanning capabilities.
Double Sided Printing: new copier purchases are to have the feature of printing on both sides which is the duplex printing feature. This can save a considerable amount of paper if this feature is utilized.
By requiring these three features we not only can see a cost savings to the college we are also helping the environment by utilizing less paper and less toner and supplies.
Since the copiers will be added to our existing network this also brings in our I.T. Department. They have recommended we stick with one brand of copier when adding to our network so it is quicker and easier to make any adjustments because they are familiar with the network programming. Consistency is important when networking.
We are currently buying Konica Minolta networked copiers through a Piggyback Contract from the following vendor:
We are purchasing off a Piggyback Contract that has competitive pricing for the copier purchase and the full service maintenance agreements, which include all parts, labor & supplies (paper not included).
Any copier purchase that does not fall within our stated standards would need a special approval process. If a copier that is not networked approved for purchase we would go through a quoting process of notifying a minimum of 3 vendors.
