Course Repetition Issues 1.6


The Cabrillo Catalog lists our policy regarding repetition of courses. Some key points in this policy as they relate to advising students are as follows:

  1. When a course is repeated, the new grade will be calculated in the GPA only if the original grade was defined as "substandard" (F, D, or NC).
  2. When a course with a "substandard grade" has been repeated for a better grade, the original grade will still appear on the transcript. It will be coded to indicate that the new grade is being calculated into the GPA.
  3. If the original take of the course resulted in a "satisfactory" grade (CR, C, B, or A), the student must petition through A & R to repeat the class. A & R has a form titled "Petition to Repeat a Course" that is used for this purpose. Students need to know that if they meet the conditions needed to repeat the class in this situation, the original grade will remain the grade of record.
There is an issue involving Course Repetition and transcripts that counselors should be aware of. The system that creates our transcripts (called California Gold) may not calculate units and GPA correctly in the following cases involving repeats:
  • When a course in which the student has received a "satisfactory" grade (CR, C, B, or A) has been repeated, the transcript will use the grade from the second take in the unit and GPA calculation. It should be using the first grade.
  • When a course in which the student has received a "sub-standard" grade (NC, D or F) has been repeated, and the resulting grade is a NC or W, the original grade is no longer counted in the unit total and GPA. The original grade should be counted.
Admission & Records does a manual intevention to correct transcripts in these situations. If we see a transcript that is still incorrect, we need to submit a standard green petition to A & R specifying the correction that needs to be made. Include a copy of the transcript and specific details as to which class should be counted and which one should not be counted in the unit and GPA totals.
