4.12 Scheduling Parameters
- In making scheduling decisions, the division will strive to provide counseling coverage during all published hours of operation. Scheduling requests will be approved based on seniority as long as they do not adversely affect student appointment coverage, and as long as the request adheres to the scheduling parameters presented here.
- Counselors must submit summer/fall and winter/spring schedule requests by the deadlines established for each cycle.
- The Administrator in charge (or designee) will set a date for submission of schedule requests, review requests and make scheduling recommendations. The Counseling Division recommends a March 15th deadline for summer/fall requests and an October 30th deadline for winter/spring requests.
- The Administrator in charge (or designee) will strive to confirm schedules requested within two weeks of the October deadline and three weeks of the March deadline.
- The scheduling committee will meet to review the process and make further recommendations as needed.
- Per contract and in order to ensure maximum coverage for students, counselors are required to schedule office hours over a minimum of four (4) days per week during the fall/spring semester (contract section 11.1.3.3.1)
- The Counseling Division supports counselors requesting to re-distribute student contact hours worked in the summer/winter for non-pay. Counselors making requests must agree to abide by the summer/winter re-distribution parameters presented here.
- Summer/Winter shall be worked on a unit basis. Counselors will schedule the summer and winter units spread throughout a 5 day work week.
- For every summer/winter unit of non-pay counselor will be allowed to re-distribute 2 hours of student contact per week, based on a 16 week semester. Example: 1 unit of student contact worked in the summer would result in 2 hours off their fall/spring semester schedule per week.
- No more than 6 hours per week can be re-distributed for either the fall or spring semester, due to the contractual obligation to work a minimum of 4 days per week.
- In addition to re-distribution as outlined above, a counselor may also request a full week re-distributed during the semester in exchange for one week of work in the summer/winter. In such case the time worked will precede the time off.
- Given programmatic needs and reduced contracts, there may be exceptions to the scheduling parameters presented here.
- Scheduling arrangements outside the parameters described here can be established between the counselor and administrator. Per contract, “a counselor and the appropriate administrator may distribute duty days that are different from the normal 175-day calendar year.”
